TreeINFO
TreeINFO product is designed for simple and efficient management of information and documents used in more than 90 companies in the Czech Republic and Slovak Republic. It is easily expandable and customizable according to individual requirements.
TreeINFO allows quick and easy search, display and sharing of information and documents stored in a central archive, maintain their logical organization and control access for individual users. It includes the worflow module for support of business processes.
TreeINFO provides a highly flexible and user-friendly interface and allows tight integration with other corporate systems such as ERP, SAP, mail systems, MS Office and others.Main features of TreeINFO:
Information structure
Information is structured in hierarchical tree structure which is very user friendly. Each object stored in the system has its own profile card, which includes descriptive information about the object.
Card indexes
Card indexes are used to manage all information that is not directly tied to a specific document, but are needed for organizing the documents. For example contacts, customers, projects, products, etc.
Security, access rights
The system allows you to define users and groups in a similar scheme as Microsoft does in its products. One user can be a member of several groups, which are then assigned access rights. The system is able to import user structure from Windows system.
Search
The system provides powerful tools for finding information and documents. Documents can be searched interactively or using queries that specify search conditions.
The results are displayed in a table and can be exported to an external database or a text file.
Approval, versions and revisions
The system maintains full document version history (author of each version, date and time of their creation, inclusion in the archive, name, date and time of the inspection, approver's name, date and time of approval, validity period of each version and other logistical information). Documents can be approved only by a user with appropriate access rights. If necessary, already approved document can be modified by an authorized user. In such case a new revision of the document will be created. The new revision may go through the creation, commenting, control and approval process again.
Issuance and document inclusion in the archive
For a document to be modified, it must be released from the archive to the specific user. After making changes, the user returns the document back to the archive. If the document is released from the archive, it cannot be modified by other users.
Compound documents
The system distinguishes between standalone and compound documents. A standalone document is a document with no direct links to other documents. A compound document is made up of a main document and any number of sub-documents. For compound documents, the system maintains information about the links between the main document and sub-documents.
Tracking document history
The system allows to track history of each document. History offers a detailed overview of the operations made with the document, including information about the date of operation, name of user who performed the operation, computer name from which the operation started.
Print outs and bulk printing of documents
The system allows printing of information using pre-defined outputs (overview of documents from selected branch, results of documents found by the query). It allows, for example, printing of all documents in the selected customer's folder or created for a particular contract.
Scanning and viewing
The system includes a powerful module for processing of scanned documents, which allows to digitize and display the documents. It supports scanning, including specialized features for quick overview of the scanned document.
Support for document routing - Workflow
The system includes a tool for linear routing of documents to recipients. Recipient can be any user of the system. A typical use of routing is sending a document to number of recipients for controlled editing, reviewing, approving, destruction, inspection, etc. The whole workflow process is recorded in an easy and non-editable report, including various comments (missed deadlines, user comments, etc.).
